DeepL vs Google Translate vs Offline Translation: Which Should You Use for Documents?
These three are not competing for the same job, which is why "which is best" has no single answer. Here is what each one is genuinely better at, where each one fails, and a decision rule you can apply in about ten seconds.
A disclosure before anything else: we make one of the tools discussed here, an offline translator called Seam. That is a reason to read the DeepL and Google sections sceptically, so we have tried to be specific about where they beat us rather than vague about it. There are several categories below where the honest recommendation is not our product.

Google Translate
The default for most of the world, and for good reason. It is instant, familiar, and covers far more languages than anything else — including many that no other tool supports at all.
Where it genuinely wins:
- Language coverage. If you are translating a less commonly supported language, this is frequently your only option, and that ends the discussion.
- Zero setup. No desktop installation is needed. For a paragraph you need to understand right now, little is faster.
- Extras. Camera translation, conversation mode, whole-webpage translation. These are genuinely useful and neither of the other options has them.
Where it falls down for documents:
- Quality on nuanced prose. It is noticeably more literal than DeepL on European language pairs, and it flattens tone and register. Fine for information, weak for writing.
- Length. The text box caps out well below a chapter. You end up pasting in sections, which causes exactly the consistency drift described in our article on why long translations go inconsistent.
- Confidentiality. A browser translator is not the right destination for text that your agreement or policy says must remain on your device.
DeepL
The quality benchmark, particularly for European languages. Translators who dislike machine translation on principle tend to concede that DeepL is good.
Where it genuinely wins:
- Output quality. On German, French, Spanish, Italian, Dutch and Polish especially, it produces more natural sentences than the alternatives. If quality is the only axis you care about, this is the answer.
- Glossaries. Its document workflows can apply preferred terminology in advance — one of the most effective fixes for consistency problems.
- Document handling. Upload a Word or PDF file and get one back with formatting preserved. This genuinely saves hours, and offline tools generally do not offer it.
- Business controls. Organisational offerings can include data-processing commitments. For a company that needs contractual protection rather than physical isolation, this can be a legitimate answer to the privacy question.
Where it falls down:
- Feature availability varies. Character limits, document handling, glossaries and privacy terms depend on the service configuration you use.
- Fewer languages than Google, though it covers the major ones well.
- The text still leaves your machine. Contractual protection is real protection, but it is a different thing from the document never being transmitted. For some material — and for freelancers who cannot negotiate business terms — that distinction is the whole decision.
Offline desktop translation
The newest of the three as a realistic option. A translation model that runs on your own computer, downloaded once, with no service behind it. Seam is one; there are others, including open-source ones you can assemble yourself.
Where it genuinely wins:
- The text never leaves the machine. Not "is not retained" — is not transmitted. This is verifiable by disconnecting your network mid-translation, which is a stronger guarantee than any policy because you can test it yourself.
- No length mode. Paste a paragraph or a 300-page manuscript; the app handles the internal passages without exposing them to you.
- Works with no connection. Flights, secure facilities, fieldwork, air-gapped machines.
- It does not depend on a translation service. The model and runtime are files on your disk.
Where it falls down — and these are real:
- Quality is good, not best-in-class. A model small enough to run on your laptop is not going to beat DeepL on a subtle paragraph of German prose. It is close enough for comprehension and drafting; it is not the top of the quality ladder, and anyone claiming otherwise is selling something.
- It is slow. Your computer is not a datacentre. Minutes for an article, hours for a book. Fine for a background job, wrong for something you need in ten seconds.
- Initial setup. An install and a one-to-two-gigabyte download are required before you translate anything.
- Hardware requirements. Around 8 GB of RAM. Most modern computers qualify; not all do.
- Usually text only. Seam takes pasted text and does not import PDF or Word files, so you lose formatting and do the reassembly yourself.
The decision rule
Two questions, in this order, settle most cases.
First: can this text be uploaded to a third party? If the answer is no — an NDA, an unpublished manuscript, regulated personal data, an employer policy — then the quality comparison is irrelevant, because two of the three options are disqualified before it starts. Use an offline tool or a human translator under contract.
Second: is it long? If the text can be uploaded but runs to hundreds of pages, the deciding factor becomes length handling and continuity. Choose a workflow that can preserve the complete job and recover after an interruption.
If the answer to both is no — the text is short and not sensitive — then use whatever is already open in your browser. That is genuinely the right answer, and it is usually Google Translate.
Using more than one
Most people who translate regularly end up with a combination, and there is nothing inefficient about that:
- Google Translate for quick lookups, travel and unusual languages.
- DeepL for short, high-stakes, non-confidential text where quality is the priority.
- An offline tool for anything long, anything under an NDA, and anything on a plane.
The one thing to avoid is using a single tool for every job out of habit. The serious mistakes in translation are often category errors — pasting a confidential contract into a web service, or forcing a manuscript through a workflow built for short passages.
Common questions
Is DeepL actually better than Google Translate?
On major European language pairs, generally yes, and noticeably so on prose. On many Asian pairs the gap narrows, and on less common languages Google often has coverage DeepL simply does not. "Better" depends entirely on the pair.
Is offline translation good enough to replace them?
For comprehension, internal documents and first drafts, yes. For short text where you want the best sentence a machine can produce, no — a model that fits on your laptop gives up something to one running in a datacentre. It is a genuine trade.
Can I use DeepL for confidential documents?
Organisational offerings may provide data-processing commitments, which can satisfy some corporate requirements. Whether that is sufficient depends on your obligations — some contracts and regulations require that the data not be transmitted at all, which no cloud service can offer.
What about ChatGPT and other general AI assistants?
They translate competently and are good at explaining nuance or offering alternatives. They are less consistent across a long document than a dedicated translation model, they have message and context limits that make manuscripts awkward, and the same upload consideration applies.
Which is best for translating a PDF?
